Look, we get it - privacy policies can be a real snooze-fest. But since we're handling your financial info (which is about as personal as it gets), we figured you'd want to know exactly what we do with it.
At Jorvex Alinth Accounting Solutions, we work with tech startups and e-commerce businesses across Canada. That means we're dealing with sensitive financial data every single day. We take that responsibility seriously, and this policy explains how we collect, use, and protect your information.
We've tried to keep this straightforward without all the legal jargon, though our lawyers made us include some of that stuff too. If something's not clear or you've got questions, just reach out - we're happy to explain.
When you become a client, we'll need the basics - your name, business name, contact details, and business identification numbers. Pretty standard stuff for any accounting firm.
This is where it gets more detailed. We collect bank account info, transaction records, invoices, receipts, payroll data, and tax documents. Basically everything we need to keep your books in order and make sure you're compliant with CRA requirements.
Our cloud-based platform collects some tech stuff automatically - IP addresses, browser types, device info, and how you interact with our portal. This helps us keep things secure and improve the user experience.
We keep records of our conversations with you - emails, phone calls, messages through our portal. It helps us provide better service and keeps a paper trail for both of us.
Here's the deal - we only use your information for legitimate business reasons. No funny business, no selling your data to random third parties.
Processing your books, preparing financial statements, handling tax filings, managing payroll - all the stuff you're paying us to do.
Meeting our obligations under Canadian tax law, anti-money laundering regulations, and professional accounting standards.
Sending you important updates about your account, tax deadlines, financial insights, and occasional service announcements.
Analyzing how clients use our platform to make it better, fixing bugs, and developing new features that actually help.
We won't use your data for marketing purposes without your explicit permission. If you've opted in to receive our newsletter or resources, you can opt out anytime.
Security isn't just a buzzword for us - it's kinda our whole thing. We use bank-level encryption and multiple layers of protection to keep your data safe.
Under Canadian privacy law (PIPEDA), you've got some solid rights when it comes to your personal information. Here's what you can do:
Request a copy of the personal information we have about you.
Ask us to fix any inaccurate or incomplete data.
Ask us to delete your data, subject to legal retention requirements.
Get your data in a portable format to transfer elsewhere.
Opt out of optional data processing like marketing emails.
Lodge a complaint with the Privacy Commissioner if you're not happy.
To exercise any of these rights, just shoot us an email at info@jorvexalinth.info or give us a call. We'll respond within 30 days, though we'll usually get back to you way faster than that.
We don't keep your data forever - that'd be excessive. But as an accounting firm, we do have some legal obligations around record retention.
While you're an active client, we keep all your financial records, communications, and supporting documents readily accessible. This is pretty much necessary for us to do our job.
If you stop being a client, we're required by Canadian tax law and professional accounting standards to retain your records for at least 6 years from the end of the last tax year we filed for you. Some documents (like incorporation papers) we might keep longer.
If you're just on our mailing list and not a client, we'll keep your contact info until you unsubscribe or we do a periodic cleanup of inactive contacts.
Once the retention period expires and we don't have a legitimate reason to keep your data, we'll securely delete or anonymize it.
We integrate with various third-party platforms to make your life easier - accounting software like QuickBooks, payment processors like Stripe, e-commerce platforms like Shopify, etc.
When you connect these services through our portal, they have their own privacy policies that govern how they handle your data. We've vetted our partners carefully, but you should read their policies too.
Our website might also link to external resources or articles. We're not responsible for the privacy practices of those sites - once you click away, their rules apply.
Privacy laws change, our services evolve, and sometimes we need to update this policy to reflect that. When we make changes, we'll update the "Last Updated" date at the top of this page.
For minor tweaks (like fixing typos or clarifying existing practices), we'll just post the updated policy. For significant changes that affect your rights, we'll notify you directly via email or through a prominent notice on our portal.
We'd recommend checking back here occasionally to stay informed, especially if it's been a while since you last read through it. We know it's not exactly riveting reading, but it's important stuff.
Got questions or concerns about how we handle your data? Don't hesitate to reach out. We're actually pretty responsive and happy to clarify anything that's confusing.
